Overview

External access in VRIFY Present allows you to securely share confidential, view-only 3D presentations with users outside your organization. This is useful for securely collaborating with investors, partners, or clients on restricted Presentations.

Access is designed to be:

  • View-only

  • Time-limited

  • Controlled by the owner or editor

Access is managed through two key components:

  • Access list – determines who can view the presentation

  • Access link – provides temporary entry

Both must be valid for access to work.

How access is controlled

External access is determined by the People with Custom Access list.

  • Only users on this list can access the 3D Presentation

  • Removing a user immediately:

    • Revokes access

    • Prevents them from opening the presentation

    • Prevents them from requesting or receiving new access links

Access is controlled by the user list, not the link.


How access links work

External users receive an access link by email after access is granted.

  • Each link provides access to a specific presentation

  • Links are intended only for the recipient

  • When opened, VRIFY verifies both:

    • The link

    • The user’s access


Link expiration and renewal

  • Access links expire 7 days after they are sent

  • Once expired, the link no longer works

If needed:

  • Users can request a new link

  • A new link is sent automatically if access is still active

If access has been removed:

  • No new link will be issued


New links replace old links

An external user can only have one active access link.

When a new link is sent:

  • Any previously sent links are deactivated

  • Only the most recent link will work


Owner visibility and control

  • When a user requests a new link, it is sent automatically

  • The presentation owner is notified

Owners and editors can remove access at any time.


What happens when a link is opened

When a user opens an access link, VRIFY checks:

  • Whether the link is still valid

  • Whether the user still has access

Depending on the result:

  • The presentation opens immediately

  • The user is prompted to request a new link (if expired)

  • Access is denied (if permissions have been removed)

This ensures access is always validated against current permissions.
