Manage Access and Roles in a 3D Presentation

Learn how Owners and Editors can manage access to a 3D Presentation by updating the General Access level, inviting users, and assigning user roles.

Overview

The General Access level is initially set during presentation creation and can be updated at any time from the Share modal.

You can open the Share modal from a 3D Presentation by clicking Share in the top-right corner, or from the 3D Presentations page by clicking the General Access level icon.

From the Share modal, Owners and Editors can:

  • change General Access levels

  • invite and remove users

  • update user roles

Owners also:

  • receive access request notifications

Step by Step Instructions

Open the Share modal

You can open the Share modal in the following ways:

From an open 3D Presentation

  • Click Share in the top-right corner

From the 3D Presentations page

  • Click the General Access level shown for the presentation, or

  • Select Share from the three-dot action menu beside the 3D Presentation

The Share modal will open, where you can view and update access settings.


Change General Access Levels

General Access determines who can open the presentation link.

To change the access level:

  1. Open the Share modal

  2. Locate the General Access level

  3. Choose one of the following access levels:

General Access

Only people invited (Confidential)

Only users listed under People with Access can open the presentation

Note: Confidential 3D Presentations require users to log in to VRIFY before they can be opened.


Invite an Individual User

Owners and Editors can invite users to access a 3D Presentation.

  1. Open the Share modal

  2. Enter the user’s email address

  3. Click Invite

  4. The user will appear in the People with Access section

  5. Save Changes

The presentation will appear in the 3D Presentations list after the user logs in.


Assign or Change User Roles

Each invited user is assigned a role that determines what they can do in the presentation.

Available roles include:

  • Owner — Can edit the presentation, manage user roles and General Access levels, and manage access requests

  • Editor: Can edit the presentation and manage roles and General Access levels

  • Viewer: Can view the presentation

Note: The Owner role cannot be removed or assigned to additional users.

To change a role:

  1. Open the Share modal

  2. Find the user in People with Access

  3. Use the dropdown next to their name to change their role

  4. Save Changes

The role change takes effect immediately.


Remove Access from a User

Owners can remove a user’s access.

  1. Open the Share modal

  2. Locate the user in the People with Access list

  3. Click the X beside their name or email

  4. Save Changes

The user will no longer be able to access the confidential 3D Presentation.


Manage Access Requests

If someone opens a presentation link but does not have permission, they can request access. The Owner will receive an email notification to review the request and add a user and assign a role.
